JOB OPPORTUNITY - SENIOR ANALYST, FINANCE AND ADMINISTRATION

Job Summary


Reporting to senior management, the Senior Finance and Administration Analyst is primarily responsible for carrying out BJM’s various financial and administrative activities, including reviewing bookkeeping, preparing internal financial reports, processing payroll, monitoring the budget, managing grant applications, and handling general administrative tasks.


Key Responsibilities

 

Accounting, Cash Management and Financial Reporting

  • Handle day-to-day accounting and financial operations: bookkeeping, invoicing, accounts receivable, accounts payable, and payments to suppliers; bank reconciliations and cash management;

  • Prepare monthly and annual internal financial statements;

  • Submit month-end and year-end financial statements for external audit and implement any requested corrections;

  • Prepare the documents and analyses required for the annual audit;

  • Ensure compliance with applicable financial and tax regulations (GST/QST, rebates, periodic filings).

 

Budgets and Forecasts

  • Prepare and manage budgets (operating, production, touring, etc.) and financial forecasts using the established template;

  • Analyze budget variances and provide reports and recommendations to senior management;

  • Prepare financial reports for senior management and the board of directors.

 

Payroll, Benefits and Employer Records

  • Manage and process payroll, including monthly union dues reports and annual tax forms;

  • Manage records related to the CNESST, pay equity, employment insurance, and the benefits program;

  • Support senior management in managing immigration and visa matters.

 

Contracts, Rights and Grants

  • Draft and administer contracts with artists, collaborators, etc., using approved templates, and support senior management in negotiations;

  • Understand and track copyrights and resale royalties with rights holders;

  • Support the executive assistant in preparing budgets for grant applications;

  • Prepare financial reports for grants.

 

Administration

  • Handle administrative tasks, including human resources, office management, and logistics;

  • Monitor and enforce administrative policies and procedures;

  • Assist senior management with matters related to the board of directors;

  • Provide the financial information needed to prepare the annual activity report;

  • Supervise the accounting support staff, as needed.


Requirements for Success in This Role


  •  Bachelor’s degree in administration, business, accounting, or equivalent;

  • At least 3 years of experience in general accounting;

  • CPA certification (a plus);

  • Proficiency in MS Office, including advanced proficiency in Excel (a plus);

  • Experience working at a nonprofit organization (an asset);

  • Experience with QuickBooks software;

  • Bilingual in French and English, both spoken and written;

  • Excellent communication skills and the ability to build strong interpersonal relationships;

  • Ability to work independently and manage priorities;

  • Strong analytical skills and the ability to interpret and synthesize information;

  • A dynamic and positive person with strong teamwork skills, a willingness to learn, flexibility, and resilience.
